Travel Coordinator

Ruby Rosen Travel, an affiliate of Brownell Travel, a Virtuoso agency. seeks a motivated, hard-working administrative professional to join our friendly and dynamic team to assist with travel coordination and support for our clients. The successful candidate will be meticulous when it comes to attention to detail and enjoy travel planning and research.  The Travel Coordinator will set the sales team up for success by providing back up support in the trip planning process. We’re looking for an efficient and effective, organized individual who wants to grow with us.

LOCATION

This is Work From Home position.

HOURS / COMPENSATION

The Travel Coordinator provides part-time support (15-20 hours/week) to Ruby Rosen Travel in a remote environment by communicating with clients and travel partners, assisting with comprehensive itineraries, and facilitating day-to-day office operations all in an effort to implement client travel plans flawlessly from start to finish.

$12-$14 per hour based on experience.

Potential for growth - Some travel could be required.

PRIMARY RESPONSIBILITIES

  • Client Base - Build ResCards, Invoice Elements

  • Axus App - Create clients proposals, library items and final itineraries.

  • Communicate with hotels, cruises, tours, etc. - Check rates and availability, confirm bookings and amenities, make deposits and final payments, send VIP arrival letters, proof vendor documents.

  • Communicate with Airline Specialists - Check rates, confirm seat assignments.

  • Communicate with clients - Welcome Home and Happy Birthday messages, scheduling conference calls, and assist when the Advisor is not available.

  • Digital Filing - Assemble client files, recheck all proper documentation is included, stock photos

  • Manage large volumes of email communications.

  • Plus any and all other help that might be needed

SKILLS / APTITUDES

Hospitality: Requires professional, courteous interaction with clients, vendors and co- workers.  Comfortable interacting with many different types of people in regular conversation as well as high stress situations.

Prioritization: Requires a very organized and highly detail oriented person with the ability to handle multiple projects and tasks simultaneously.  must have a good sense of “order of operation” and uses logic to solve problems.

Motivation: Can take direction well and is also able to contribute helpful ideas to streamline work processes.  Self-starter who anticipates what needs to be done and is resourceful.  High integrity and honesty.

Technology:We are a digital based company and require the Travel Coordinator to be able to proficiently and quickly master our database, record keeping and itinerary creation systems. Expedient typing speed is preferred.
